These Terms of Service (“Terms”) govern access to and use of CoreDesk, a hosted AI-powered back-office workspace platform at hccoredesk.com. CoreDesk is operated by HC Core Tech, based in Almere, Netherlands (KvK registration pending). By requesting access, signing in, or otherwise using CoreDesk, you (“User”) agree to be bound by these Terms.
What CoreDesk is
CoreDesk is a hosted workspace product configured on a per-user basis and made available under an ongoing subscription. It provides email triage, CRM, meeting notes, finance management, content drafting, and an AI-governance layer that maps AI actions to the frameworks that apply to the User's business (EU AI Act, GDPR, NIST AI RMF, and others).
CoreDesk is designed for founder-led practices, ZZP'ers, and small businesses. It is not designed for large enterprises, managed-service arrangements with 24/7 uptime SLAs, or clients who expect no engineer contact after onboarding.
Access and eligibility
Access to CoreDesk is offered by invitation only, following a discovery call. Users must be at least 18 years old and have legal authority to bind the practice or business on whose behalf they use the service. Sign-in credentials must be kept confidential; the User is responsible for activity conducted under their workspace account.
Subscription, fees, and billing
CoreDesk is provided under a subscription that combines a setup engagement (workspace configuration) with an ongoing monthly retainer. Fees are quoted individually after the discovery call and confirmed in a written proposal before any work begins.
Invoices are issued in EUR unless otherwise agreed. Multi-currency invoicing (USD, GBP, and others) is available where the User's client base requires it. Payment is due within the terms stated on each invoice. CoreDesk does not operate seat-based pricing, per-agent billing, or automated tier upgrades.
Feature requests and workspace changes
Certain subscription tiers include unlimited feature requests. On those tiers, the User may request new capabilities, adjustments, or integrations at any pace, and CoreDesk will add them to the workspace directly as time allows during working hours. Requests falling outside the scope of the CoreDesk platform will be discussed as a separate engagement through HC Core Tech, or a graceful handoff to a platform better suited to the need.
Data ownership and portability
The User owns all data entered into or generated within their CoreDesk workspace, including client records, communications, financial records, content drafts, and derived documentation. For the purposes of EU data protection law, HC Core Tech acts as data processor for workspace data on behalf of the User (see the separate Data Processing Agreement).
Every CoreDesk workspace ships with data export tools. The User may request a full export in structured formats at any time. There is no lock-in mechanism, no punitive export fee, and no restriction on the User's ability to migrate to another platform.
User obligations
The User agrees to provide accurate account information, to keep sign-in credentials confidential, and to use CoreDesk in compliance with applicable law. The User must not use CoreDesk to process data for unlawful purposes, to send unsolicited bulk communications, or to circumvent the governance and approval layer built into the platform.
The User remains responsible for reviewing AI-generated drafts, suggestions, and recommendations before sending, publishing, or acting on them externally. CoreDesk provides an approval-first governance model precisely to enable this review, but the final decision rests with the User.
Availability and support
CoreDesk includes direct engineer access during working hours, Monday to Friday, Central European Time. Changes, bug fixes, and feature additions typically ship within the same week they are requested. CoreDesk does not operate a 24/7 uptime service-level agreement; Users who require guaranteed round-the-clock uptime should consider a managed-hosting partner for their production infrastructure.
Confidentiality
CoreDesk treats all workspace data and business information shared by the User as confidential. Workspace data is not disclosed to third parties without the User's written consent, except to the sub-processors listed in the Data Processing Agreement as necessary to operate the platform.
HC Core Tech may describe the general nature of its work at a high level for portfolio or credentialing purposes (for example: “built a client workspace for a Dutch care practice”) without identifying the User by name and without disclosing any specifics of the User's business operations, clients, or data. If the User requires stricter confidentiality, a separate NDA can be executed on request.
Intellectual property
HC Core Tech retains all right, title, and interest in the CoreDesk platform, its underlying code, infrastructure, and brand. The User is granted a non-exclusive, non-transferable licence to use CoreDesk during the term of the subscription.
Configurations, workflows, and content created within the User's workspace remain the User's intellectual property. AI-assisted drafts and outputs generated for the User are also the User's property, subject to the applicable terms of any underlying AI provider (see the Privacy Policy).
Compliance and governance
CoreDesk includes a built-in governance layer that tracks, scores, and maps AI actions to applicable frameworks (EU AI Act, GDPR, NIST AI RMF, and others). Documentation packs, audit trails, and ongoing monitoring are included in the subscription; they are not sold as an add-on.
The governance layer is a supporting tool. It does not replace the User's own regulatory obligations or the need for formal certification or audit sign-off where those apply. Formal certification is a separate specialist engagement offered through HC Core Tech on request.
Termination
Either party may terminate the subscription for any reason with thirty (30) days' written notice. Either party may terminate immediately for material breach of these Terms that remains uncured after fourteen (14) days' written notice.
If the User becomes unresponsive to communications for more than thirty (30) days despite reasonable attempts to make contact, the CoreDesk subscription may be paused and workspace access suspended until contact is re-established. Data remains preserved during any such pause.
Upon termination, CoreDesk provides a full data export on request and preserves the workspace for ninety (90) days as a safety buffer, after which the workspace and all data within it are deleted per the Data Processing Agreement.
Disclaimers
CoreDesk is provided on an “as-is” and “as-available” basis. No warranty is made that the service will be uninterrupted, error-free, or fit for any particular purpose beyond those described in the User's onboarding scope. AI-generated content requires User review before external use.
Limitation of liability
To the maximum extent permitted by Dutch law, HC Core Tech's aggregate liability arising out of or in connection with the User's use of CoreDesk is limited to the fees paid by the User in the twelve (12) months preceding the event giving rise to the claim. Neither party is liable for indirect, consequential, incidental, or punitive damages.
Changes to these Terms
These Terms may be updated from time to time. Material changes will be communicated to Users by email at least thirty (30) days before they take effect. Continued use of CoreDesk after that date constitutes acceptance of the revised Terms.
Governing law and contact
These Terms are governed by the laws of the Netherlands. Disputes are subject to the exclusive jurisdiction of the competent courts of the Netherlands.
